It connects with what you already have.

Holdera doesn't live inside your PMS or ask for its passwords: it reads what your hotel already exports. This is everything it needs, what each piece switches on and what can't be shown without it.

Where the figures come from

Four sources. Not one more.

None of them is a new system your team has to learn: they're files your PMS already knows how to generate. Each source switches on some screens and, when one is missing, Holdera says so instead of filling the gap.

01 · PMS, the end of dayThe daily export your PMS already generates when it closes the day.

  • One row per closed night

Rooms available and sold, out of order (OOO) and out of service (OOS), and that night's room revenue.

  • Powers occupancy, ADR and RevPAR

For every night already closed, plus the history used to compare the month against the same time last year.

Without this export there is no history: no averages, no comparison with last year. Holdera says so on screen instead of showing a zero.

02 · PMS, the intraday snapshotThe state of the hotel at a given time of day, not at close.

  • Arrivals, departures and cleaning status

Who is arriving and who is leaving today, the rooms in house and the state of the empty ones: Vacant Clean (VC), Vacant Dirty (VD) and out of order (OOO).

  • Powers today's hotel and housekeeping

The building floor by floor, the arrivals that don't have a ready room yet and the work left for the housekeeping shift.

Without an intraday snapshot, today doesn't exist: Holdera can only show nights already closed, and it warns you.

03 · Bookings, the future nightsThe rooms on the books for every night still to come.

  • One row per future night and room type

The rooms already sold for that night and the date the reading was taken. Two readings taken at different times are what make pickup possible.

  • Powers the calendar, pickup and pace

Forecast occupancy month by month, what has come in over the last seven days and how sales are going against the same time last year.

Without the future nights the calendar stays historical: no pickup, no pace, no sales rhythm. Nothing is estimated; it says it isn't there.

04 · Other departmentsFood and beverage, spa and everything the hotel bills that isn't a room.

  • Revenue that isn't rooms

Total per day and per department —food and beverage, spa, parking, laundry—, closed with the same date your PMS uses for the day.

  • Powers true TRevPAR

Total Revenue per Available Room: the hotel's TOTAL revenue per available room, rooms plus food and beverage plus spa plus every other service.

Without these departments Holdera shows RevPAR and marks TRevPAR as incomplete. It's the figure most often inflated when only the rooms are counted.

No live connection

Holdera doesn't stay connected to any of your systems. It reads the file your hotel exports, processes it and publishes it; between one export and the next, the screen keeps showing the same thing. That's why every screen states when the data you're looking at is from, and why the demo dashboard is deliberately frozen on Thursday 15 January 2026 at 14:30, with the data of a fictitious hundred-room hotel.

What if your PMS is an unusual one?

We can almost certainly read it.

The data arrives in one of four ways, in order of how easy they are for you. We use the first one that works, and it can be switched to a more convenient one without redoing anything.

We never ask for the passwords to your systems. If access is needed, it's our own read-only access, limited to the agreed fields, which you can revoke whenever you like.

  1. CSV by hand

You download the report from your PMS and send it to us. This gets things started the same week and you see your data on screen before deciding anything.

  2. Scheduled export

Your PMS drops the file into a folder or an FTP every night and Holdera picks it up on its own. It's the usual route once the pilot is under way.

  3. API

If your PMS has an API, we read it with our own read-only credential, limited to the fields we've agreed. Nothing is written to your system.

  4. Automatic email

Many PMSs can email their report to a fixed address. That address can be ours: we read the attachment and take it from there.
